Job Description:

The Government Property Agency (GPA) is an Executive Agency of the Cabinet Office. Job Responsibilities:

  • Carrying out business administration as appropriate for the Director and their wider team, including booking travel, preparing meeting papers, assisting with recruitment campaigns; and
  • Taking an active role in the Agency’s Executive Support Working Group, building up good working relationships with the other Executive Assistants to progress work
  • Ensuring effective inbox management for the Director, including recognizing and flagging the relevant importance of emails and requests being received;
  • Fielding general enquiries, phone calls and invitations to the Director, redirecting or taking forward such action as appropriate and monitoring deadlines;
  • Management of the Director’s diary and daily commitments, prioritizing meeting schedule and managing conflicting demands;
  • Ensure travel and associated expenses log is maintained enabling a monthly transparency return to be submitted;
  • Managing commissions to ensure the Director is able to complete the requested work in a timely manner, or delegating work to their team where appropriate to meet regular deadlines;
  • Coordination of internal and external meetings and associated administration;

Job Requirements:

  • Demonstration of working well as part of a team;
  • A willingness to travel to other office locations (mainly Birmingham and London) very occasionally.
  • Proven track record of working in a fast paced environment, including demonstrable experience of diary management and meeting organization;
  • Ability to work confidently and efficiently with staff at all levels; and
  • Exceptional time management and organizational skills;
  • Experience of following processes and operating firmly within a discreet and confidential manner;
  • The individual needs to be confident in taking charge of situations, people and decisions, communicating confidently and giving direction while prioritizing and managing a heavy workload;
